The Fully Managed Service

Sovereign Estates provides a comprehensive property management service designed to give Landlords complete peace of mind. Our Service includes:

Professional marketing of your property

Pre-qualifying applicants and carrying out accompanied viewings

Presenting all interested parties for consideration

Tenant referencing, ID, and proof of residency checks

Preparation of all pre-tenancy paperwork and tenancy agreements

Inventory preparation and in person check-in (where possible)

Collection and protection of deposits

Monthly rent collection and prompt payments to Landlords

Liaising with Tenants and Contractors on maintenance issues

Periodic Property Condition Checks (PCC) with reports to the Landlord

Tenancy renewals and reviews

End of tenancy management, including check out procedures

The Rent Collection Service

Sovereign Estates offers a dedicated monthly rent collection service alongside the full letting process. This includes:

We recognise that Landlords depend on regular rental income. At Sovereign Estates, we take a proactive approach to managing payments, ensuring that rent is collected efficiently and addressing any issues promptly to protect your investment.

The Tenant Find Only Service

Sovereign Estates offers a comprehensive tenant find service designed to secure the right tenant for your property. This includes:

Professional marketing of your property

Pre-qualifying applicants and carrying out accompanied viewings

Presenting all interested parties for consideration

Tenant referencing, ID, and proof of residency checks

Preparation of all pre-tenancy paperwork and tenancy agreements

Inventory preparation and in person check-in (where possible)

Collection of the first month’s rent and deposit*

We understand that, when managing your own property or tenancy, finding the right Tenant is crucial. At Sovereign Estates, we take care of every step to help ensure you have a reliable Tenant who is the right fit for your property.

*subject to agreement, alternatively, the deposit is paid directly to the Landlord deposit scheme or the Landlord who will be responsible for protecting the deposit.

Letting Consultancy Services

Sovereign Estates offers a tailored Consultancy Service for Landlords with portfolios ranging from a single property to twenty or more. Our service provides a detailed review of your portfolio to ensure you are maximising returns and remaining fully compliant. This includes:

Assessing rental levels to ensure you are achieving the best possible income

Reviewing compliance with current property standards and legislation

Identifying improvements to increase profitability and long-term value

Providing sales valuations of individual properties

Addressing any additional requirements you may have (within reason)

All findings and recommendations are compiled into a comprehensive written report for your records

One to Nineteen Properties

We will conduct a comprehensive evaluation of all properties within your portfolio, assessing their condition, compliance, and safety standards. Following this assessment, we will furnish you with a detailed report outlining strategies to optimise your investment, as well as recommendations to ensure you fulfil your legal obligations as a landlord.

£200.00 plus vat

Twenty plus Properties

We will conduct a comprehensive evaluation of all properties within your portfolio, assessing their condition, compliance, and safety standards. Following this assessment, we will furnish you with a detailed report outlining strategies to optimise your investment, as well as recommendations to ensure you fulfil your legal obligations as a landlord.

£500.00 plus vat

Hourly rate

Should you require a tailored service catering to specific needs, we invite you to contact us for further discussion. While our standard offering is based on an hourly rate, we are amenable to negotiating a fixed price contingent upon your particular requirements.

Landlord and Tenant related fees

All fees are inclusive of vat.

  • LANDLORDS:
  • Set-Up-Fee for all new Tenancies – £420.00 (£50.00 + vat)
  • Out of Hours Call Handling (minimum 1 hour) – £108.00 (£90.00 + vat) please note; this fee excludes any charges from contractors attending.
  • Withdrawal from an Agreed offer – £180.00 (£150.00 + vat)
  • Preparation of Extension Agreement – £36.00 (£30.00 + vat)
  • Refurbishment Oversight – 12% of the total cost of works (10% + vat) for managing refurbishments projects over £2,000.00 excludes standard works such as boiler replacements and applies only to property refurbishments.
  • Deposit Adjudication Documentation – £90.00 (£75.00 + vat)
  • Preparation & Service of Section 8 Notice – £120.00 (£100.00 + vat)
  • Court or Tribunal Attendance – £108.00 per hour (£90.00 + vat), plus reasonable expenses
  • Insurance Claim Handling – £240.00 (3200.00 + vat)
  • Duplicate Statements – £7.20 (£6.00 + vat) each
  • End of Year Accounts & Tax Statement – £60.00 (£50.00 + vat) per property
  • Non-Routine Property Condition Checks – £108.00 (£90.00 + vat)
  • Annual Anti-Money Laundering (AML) Checks – tbc
  • Check Our report – price on enquiry
  • Rent review (non-managed properties) – £90.00 (£75.00 + vat)
  • Preparation of an extension agreement (non-managed properties) – £90.00 (£75.00 + vat)
  • Preparation and service of a Section 8 notice or Section 13 notice (non-managed properties) – £210.00 (£175.00 + vat)
  • Non routine Property Condition Check (non-managed properties) – £108.00 (£90.00 + vat)
  • Sales Commission if the Tenant (introduced by Sovereign Estates) purchases the Property – 1.2% of the property price (1% + vat)
  • Cost of specialist advertising or brochure; details upon request but subject to additional charges.
  • TENANTS:
  • Deposit – all Tenancy deposits will be the equivalent of five weeks’ rent
  • Holding Payment – a holding payment equivalent to one weeks’ rent is required to secure a property. This is non-refundable if you fail referencing or do not enter into the agreed Tenancy. If the Landlord withdraws from the agreed Tenancy, the holding payment will be refunded in full.
  • Out of Hours Call Outs – If an emergency call-out is requested out of hours and it is found not to be an emergency or not the Landlord’s responsibility, the cost of the contractor’s invoice and a call out fee may be charged to the Tenant.
  • Variation or alteration of Tenancy Agreements – £54.00 (£45.00 + vat)
  • Locked out of the property (requiring agent attendance out of hours): £60.00 (£50.00 + vat)
  • Loss of keys: The cost of a new lock and replacement sets of keys for the Tenant, Landlord, and Agent. Prices vary depending on the lock make and model.
  • Early release from Tenancy (subject to Landlord approval): The Landlord’s re-letting costs plus all property related costs up to and including the day before a new Tenant moves in. This is the minimum expectation but may not be granted, subject to circumstances.
  • Change of rent due date: The Tenant must pay the pro-rata rent for the days between the current rent date and the proposed new rent date (subject to Landlord approval), followed by the full monthly rent amount on the new date.
